Using Doow AI

How to get AI-powered insights, ask questions about your data, and automate spend-analysis tasks with Doow AI.

Doow AI lets you ask questions about your software spend in plain language and get instant answers backed by your own data. It is available on every page and understands your applications, expenses, subscriptions, and usage patterns.

What Doow AI can do

Doow AI is not a general-purpose chatbot. It is connected to your workspace data and is designed specifically for software spend analysis. Here is what it can answer:

Spend questions:

  • "How much did we spend on marketing tools last quarter?"
  • "Which application had the biggest spend increase month over month?"
  • "Show me all expenses over $5,000 this year."

Usage questions:

  • "Which tools have the lowest utilisation?"
  • "How many people used Slack in the last 30 days?"
  • "Show me apps that no one has logged into in 60 days."

Subscription and renewal questions:

  • "What renewals are coming up in the next 30 days?"
  • "Which subscriptions are on monthly billing that could be switched to annual?"
  • "What is our total committed annual spend?"

Comparison and trend questions:

  • "Compare our spend on Zoom vs Google Meet this quarter."
  • "Is our engineering-tools spend trending up or down?"
  • "How has our total SaaS spend changed since last year?"

What-if questions:

  • "How much would we save if we removed unused licences?"
  • "What if we switched all monthly subscriptions to annual billing?"
  • "Show me the savings if we consolidated all design tools into one."

How to use Doow AI

You can open Doow AI from anywhere:

  • Press Cmd + K (Mac) or Ctrl + K (Windows) to open the AI panel as an overlay
  • Click the Doow AI item in the left sidebar to open it full-page
  • Click the sparkle icon next to any chart, table, or metric on the dashboard to ask about that specific item

Asking a question

Type your question in the input at the bottom of the panel and press Enter. Doow AI processes your question against your workspace data and responds with an answer, usually in a few seconds.

The response often includes:

  • A direct answer to your question in plain language
  • A chart or table illustrating the answer (for spend, usage, or trend questions)
  • Source references — the specific applications, expense lines, or integrations the answer is based on
  • Follow-up suggestions — related questions you can ask with one click

Refining your question

If the initial answer is not exactly what you needed, you can:

  • Ask a follow-up question in the same thread — Doow AI remembers the context
  • Click Refine below the answer to narrow the results (e.g. by department, date range, or application)
  • Use the date-range picker above the input to scope the question to a specific period

Example workflows

Identifying quick savings

Ask: "Which apps have the lowest utilisation?" → Doow AI returns a ranked list → Ask follow-up: "How much would we save by removing licences from anything below 50% utilisation?" → Get a dollar figure and the list of affected users.

Preparing for a renewal meeting

Ask: "Show me renewals in the next 90 days." → Doow AI returns a timeline with amounts → Ask: "Which of these have a cheaper alternative?" → Get alternative suggestions with cost comparison.

Monthly spend review

Ask: "Summarise our spend this month compared to last month." → Doow AI returns a high-level summary with the biggest movers up and down → Drill into specific apps: "Why did our Datadog spend go up?"

Understanding what Doow AI knows

Doow AI has access to:

  • Your full application portfolio and per-app metadata
  • All expense and spend data from your connected integrations
  • Subscription details, billing cycles, and renewal dates
  • Usage and login data from your identity provider
  • Department and team structure (if your HRIS is connected)

It does not have access to:

  • Individual user emails or personal information beyond what is displayed in the app
  • Data from integrations you have not connected
  • External data about vendors (pricing pages, reviews) — though it may reference this if relevant
  • Data from other Doow workspaces

Where results might need verification

Doow AI works with your real data, but numbers are only as accurate as the underlying integrations:

  • If an integration has not synced recently, the AI's answer will be based on stale data. The last-synced timestamp for each integration is shown at the top of the AI response when relevant.
  • If an application has unmatched expenses, the AI flags this: "Note: 3 expense lines for this app are unmatched and were excluded."
  • For what-if questions, the AI shows its assumptions (e.g. "Assumes all annual plans offer a 15% discount compared to monthly"). You can adjust these assumptions in the follow-up.

Doow AI history

Your conversation history is saved automatically and is visible in the left panel of the Doow AI page. Each thread is titled based on the first question. You can:

  • Click any past thread to continue the conversation
  • Rename a thread by clicking its title
  • Delete a thread from the thread menu (three dots)

Conversations are private to you by default. Other workspace members cannot see your Doow AI threads unless you share them — click Share thread from the thread menu to generate a link.
